Next Generation - Populate Stage 2 for a stock take

A guide to Stage 2 of the Stock Take wizard, covering how to enter counted quantities, add additional items, and progress to Stage 3.

This article guides you through how to enter counted quantities for a stock take at Stage 2 with detailed steps and descriptions.

Once you have clicked on the Next Step button in Stage 1 of the stock take and confirmed the progression, you are taken to Stage 2: In Progress.

Stock Take Stage 2 is where you enter the counted quantities from your physical stock count and add any additional items discovered during the counting process. You can also print a count sheet at this stage to assist with your physical counting.

Access the Stock Take Stage 2 screen for an existing Stock Take

  1. Click Stock then click Transactions and then click Stock Take.
    Note:
    All stock take records with their different statuses are displayed. You can narrow down your search to only display In Progress status stock takes by using the advanced filters. You can also search on the Status column directly by pointing the mouse to the name of the column and click on the

    icon and choose In Progress from the list, then click OK.

  2. Click on the hyperlink or underlined text for the stock take you wish to work with, then click Edit.

  3. Add in your counted stock in the Counted Quantity field and if necessary, click on + Additional Items to add in extra stock records.

  4. Once you are done adding additional items, and are ready to progress to the next stage, click on the Next Step button.

Note: The Start Date and Type fields are disabled fields on the header section of Stage 2 of your Stock Take. The Start Date pulls through the date you have selected at Stage 1 of the stock take wizard.

To provide you with more space on the Stock Take items and Additional Items section, you can collapse the header section by clicking on the collapse arrow next to the Stage Progress label.

Search field

  • Allows you to search on a specific stock record that is part of your stock take.

Count Sheet

  • Downloads an excel count sheet that sorted by or grouped by excel count spreadsheet sheet for you that you can print to assist with your physical counting. The spreadsheet contains all the counts you have completed at Stage 1 of the wizard.

Cog Options

  • You can hide any unwanted columns which are not relevant for your stock take or you can add in any hidden columns using the Configure Column option.

Stock Code

  • Read-only field which is populated with the stock records that you selected when clicking on the + Stock Items button.

Stock Description

  • Read-only field which is populated with the description of the stock items that you have selected to do the stock take transaction for.

Sub Analysis

Sub Analysis Description

  • Read-only field which is populated with the description of the sub analysis type stock items that you have selected to do the stock take transaction for.

Expected Quantity

  • Read-only field which displays the count that you currently have for the stock item.

Counted Quantity

  • You can enter the actual quantity that was counted during your stock take.

Difference

  • Read-only field which displays the difference between your expected and counted quantities.

Value

  • Read-only field which displays the purchasing price key 1 on the stock item.

Total Value

  • Read-only field and sums up the total value of the difference using the purchasing price key 1 of the stock.

  • Allows you to search on a specific stock record that is part of your stock take.

+ Additional Items

  • Opens a selection window where you can choose which additional stock items to include in your stock take.

  • Automatically collapses the Stock Take Items section to provide you with more screen space.

Note: You can select up to 500 stock items on the Stock Take screen. To include more than 500 records, please start the Stock Take from the Stock Records screen.

Cog Options

  • You can hide any unwanted columns which are not relevant for your stock take or you can add in any hidden columns using the Configure Column option.

  • Read-only field which is populated with the stock records that you selected as additional items.

Stock Description

  • Read-only field which is populated with the description of the stock items that you have selected as additional items.

  • Read-only field which displays the count that you currently have for the stock item.

Counted Quantity

  • You can enter the actual quantity that was counted during your stock take.

Difference

  • Read-only field which displays the difference between your expected and counted quantities.

Value

  • Read-only field which displays the purchasing price key 1 on the stock item.

Total Value

  • Read-only field and sums up the total value of the difference using the purchasing price key 1 of the stock.

Cancel navigation button

Save & Close navigation button

  • Saves your current progress and closes the edit mode of the Stock Take Wizard's In Progress screen so it is convenient for you to edit again in case you need to edit the stock take again.

Next Step navigation button

  • Saves your current progress at this stage of the Stock Take and moves to Stage 3 - Review the next steps in the Stock Take Wizard.

  • When selected, a confirmation message is displayed for you:

    • "Proceeding to the next step means you will no longer be able to add additional items. Are you sure you want to proceed?"

    • When you click Continue, a toast message confirms that your Stock Take has been saved and progress to the next stage.
