Next Generation - Populate Stage 3 for a stock take

A guide to Stage 3 of the Stock Take wizard, covering how to review variances, flag items for recount, and complete the stock take to generate automatic stock adjustments.

This article guides you through how to review variances for a stock take at Stage 3 with detailed steps and descriptions.

Once you have clicked on the Next Step button in Stage 2 of the stock take and confirmed that you no longer need to add additional items, you are taken to Stage 3: Review.

Stock Take Stage 3 is where you review the variances between your expected and counted quantities, can edit quantities if needed, and flag any items that require recounting by selecting the Recount Required checkbox. You can no longer add additional items at this stage.

Access the Stock Take Stage 3 screen for an existing Stock Take

  1. Click Stock then click Transactions and then click Stock Take.
    Note:
    All stock take records with their different statuses are displayed. You can narrow down your search to only display Review status stock takes by using the advanced filters. You can also search on the Status column directly by pointing the mouse to the name of the column and click on the

    icon and choose Review from the list, then click OK.

  2. Click on the hyperlink or underlined text for the stock take you wish to work with, then click Edit.

  3. You can select the Recount Required checkbox for any stock records where you wish to initiate a new count, or amend any of the counted quantities.

  4. Once you have reviewed or amended your stock take and are ready to complete your stock take, click on the Complete button.

Note: After confirming the completion of the stock take, the status of your stock take changes to Complete.

Note: The Start Date and Type fields are disabled fields on the header section of Stage 3 of your Stock Take. The Start Date pulls through the date you have selected at Stage 1 of the stock take wizard.

You can collapse the Header section of your stock take to allow for more screen space by clicking on the collapse arrow next to the Review stage label. If you want to check your additional items, you can also collapse the Stock Take Items section by clicking on the collapse arrow next to the Cog icon.

Description

Search field

  • Allows you to search on a specific stock record that is part of your stock take.

Cog Options

  • You can hide any unwanted columns which are not relevant for your stock take or you can add in any hidden columns using the Configure Column option.

Stock Code

  • Read-only field which is populated with the stock records that you selected when clicking on the + Stock Items button.

Stock Description

  • Read-only field which is populated with the description of the stock items that you have selected to do the stock take transaction for.

Sub Analysis

Sub Analysis Description

  • Read-only field which is populated with the description of the sub analysis type stock items that you have selected to do the stock take transaction for.

Expected Quantity

  • Read-only field which displays the count that you currently have for the stock item.

Counted Quantity

  • You can enter the actual quantity that was counted during your stock take.

Difference

  • Read-only field which displays the difference between your expected and counted quantities.

Value

  • Read-only field which displays the purchasing price key 1 on the stock item.

Total Value

  • Read-only field and sums up the total value of the difference using the purchasing price key 1 of the stock.

Recount Required

  • Checkboxes which are not selected as default.

  • You can select the checkbox for any stock items where you wish to perform a recount.

    • Once you click on the Complete button, a new stock take is created for you automatically for all the stock items you have selected for a recount.

  • Read-only field which displays the purchasing price key 1 on the stock item.

Total Value

  • Read-only field and sums up the total value of the difference using the purchasing price key 1 of the stock.

  • Checkboxes which are not selected as default.

  • You can select the checkbox for any stock items where you wish to perform a recount.

    • Once you click on the Complete button, a new stock take is created for you automatically for all the stock items you have selected for a recount.

Cancel navigation button

Save & Close navigation button

  • Saves your current progress and closes the edit mode of the Stock Take Wizard's In Progress screen so it is convenient for you to edit again in case you need to edit the stock take again.

Complete navigation button

  • Creates the stock adjustments automatically and changes the stock take status to Complete.

  • Confirmation messages:

  • Where no items are flagged for recount:

    • "This action will make adjustments to the values stated on the stock. Do you still wish to complete the stock take?"

  • Where items are flagged for recount:

    • "This action will make adjustments to the values stated on the stock take and create a new stock take for the items to be recounted. Do you wish to complete the stock take?"
