Next Generation - Update or change the debt status on a transaction

When you are using the Credit Control Module in Access Financials, each sales transaction will have a debt status of Current automatically applied to it.

With the Credit Control Module, you can change or amend the debt status of a one or several transactions at a time.

There are three default debt statuses automatically created when a database is created which can be view in the Credit Control Options.

The three different default statuses are:

Status

Description

Current

  • Default option assigned to all sales or sales order transactions posted.

  • Where the current date is less than the transaction due date.

Due

  • Where the current date is equal or greater than the transaction date but less than the due date plus the overdue days.

Overdue

  • Where the current date is equal to or greater than transaction due date plus overdue days.

Note: The overdue days is specified in the Credit Control Options in the Overdue Options section, in the System Options which is security profile permission driven.

Assign a debt status to a transaction:

  1. Click Debtors then Credit Control and then click Chase Debtors.
    ​Note: The Chase Debtors Enquiry screen opens listing all your customers and their transactions. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Click the expand arrow icon on the row you want to work with to open the transaction for the customer.

    • Note: The selected customer's transactions are displayed.

  3. Select the checkbox in front of the transaction that you want to change the debt status.

    • Note: The Action Panel automatically opens from the right hand-side of the screen.

  4. Click the Update Debt Status action card.

  5. Click the drop-down arrow on the Debt Status field and select the required status and assign a credit controller.

    • Note: Assigning a credit controller is mandatory.

  6. Click Save.

  7. The transaction list displayed is refreshed and the Debt Status and Credit Controller columns are updated with your amended values.

Note: You can select several transaction at the same time to update the debt status as well as use the Select All checkbox once you have narrowed down your search criteria.
