Security Profiles

Change or amend a security profile

To change a Security profile you must first log into Access Financials as an administrator profile. If you don't have access, speak to your organisation administrators.

  1. Within Access Financials click System then Security then click Profiles.
    ​Note: All security profiles are displayed for you.

  2. Within the Ribbon, there are options to create (New), Edit and Duplicate existing profiles.

  3. Highlight or select the checkbox in front of a profile you wish to amend or change.

  4. Click on the Edit button at the top of the toolbar to set the profile into edit mode.

Explanation of the Details tab on a profile

Option

Description

Name

  • Mandatory field which displays to the name you gave the security profile when you set it up.

  • The name can be changed

Description

  • Mandatory field and displays the description you entered when setting up the profile.

  • The description can be changed.

Default SOP Status

  • Defaults to Full Process and can be changed by clicking on the spyglass when profile is in edit mode or can be edited using the pencil icon at the end of the field when the full record is not in edit mode.

  • As default there are 5 different statuses:

    • Hold

    • Authorise Delivery

    • Authorise Invoice

    • Full Process

  • The selected status is going to be the default status that is pulled through to a sales order for the selected profile.

Default POP Status

  • Defaults to Full Process and can be changed by clicking on the spyglass when profile is in edit mode or can be edited using the pencil icon at the end of the field when the full record is not in edit mode.

  • As default there are 5 different statuses:

    • Hold

    • Authorise Delivery

    • Authorise Invoice

    • Full Process

  • The selected status is going to be the default status that is pulled through to a purchase order for the selected profile.

Default Sales

  • Defaults to blank.

  • You can select a sub ledger that you wish to be the default sub ledger on sales type transactions.

Default Nominal

  • Defaults to blank.

  • You can select a sub ledger that you wish to be the default sub ledger on nominal type transactions.

Default Admin

  • Checkbox is selected when the user is set up as an Admin user in the Members area within Options and Manage Roles.

  • Can be changed manually.

Default User

  • Checkbox is selected when the user is set up as a user in Workspace in the Members area within Options and Manage Roles.

  • Can be changed manually.

In Use

  • Checkbox is selected when the profile is in use

  • Can be changed manually.

Explanation of the Permissions tab on a profile

The Permissions Tab is where you set what the profile can do and it is set up to mirror the Navigation menu on the left-hand side in Financials; however, you can also choose to show as alphabetical. To deny people access to areas, simply go into edit mode, deselect the checkbox click Save.

Add users to profiles

  1. Click System then Security then click Users.

  2. Select the user and click on the Edit button at the top of the screen.

  3. Change the Security Profile field by clicking the Magnifying glass and selecting the Profile you want them to use.
    ​Note: After changing a user's profile it is advisable that they close the Financials tab for that dataset and reopen it via the access button to refresh the settings.
