Introduction and configuration of security profiles and permissions

Access Financials includes a flexible set of features for security management. This includes support for the following requirements:

  • Controlling which users can view and edit bank details.

  • Read only access to records.

  • Controlling which transaction types users can create.

  • Creating simple profiles for users who only need limited features.

Security Profiles

Security profiles can be managed within the system to control user access to features They are available within the System Security menu. To access the system security menu:

  1. Click the Financials Menu, then click System.

  2. Click Security, then click Profiles.

The following facilities are available:

New

Create a new security profile.

Edit

Edit the details of a security profile, including name and description.

Set Permissions

Control access to features.

Search

Search functionality to filter the list of security profiles.

Duplicate

Create a new security profile based on the security profile you're duplicating, including approval rights.

Delete

Remove the security profile. This cannot be deleted if assigned to a user or set as a default.

Permissions

Permissions are set against security profiles and control what features users can access. Permissions are shown in a hierarchy, which relates to the modules and the main navigation menu. Administrators can expand and collapse this hierarchy to see what permissions are granted to each role.

The following general principles apply to permissions in Access Financials:

  • Most permissions directly relate to a screen within Access Financials.

  • If you set a permission which needs to have a view rights to work, e.g. Customer - Edit, the related view permission is automatically set.

  • Granting permissions never take features away.

  • Permissions do not affect what users can do in another system, which are integrated with Access Financials.

  • Users cannot see features which they do not have permission to access.

Administering Permissions

When editing permissions you can set them individually or using the hierarchy. The following can also be done when working with permissions:

Export to CSV

Generates a CSV file of permissions on this role (reflects any filter).

Export to Excel

Generates a Microsoft excel file of permissions on this role (reflects any filter).

Sort Alphabetically or by Navigation

Order alphabetically or to reflect the main navigation menu.

Filter

filter the list of permissions to those which contain the entered text.
