Next Generation - Access Aged Credit enquiry directly or from a supplier

All our enquiries and record lists share the same screens and the same functionality for consistency purposes. For more information on the layout and functionality of the screen, please refer to Purchase Ledger Transactions Enquiry article.

The Aged Credit enquiry shows the current supplier aged analysis and the ageing periods reflect your selection in ageing method in system options.

You may have chosen to age your debtors balance by months or a different breakdown of days:

  • Up to 30 Days

  • 31 - 61 Days

  • 61 - 90 Days

  • 91 - 120 Days

  • 121 - 180 Days

  • Over 180 Days

Or

  • This Month

  • Last Month

  • Two Months Ago

  • Three Months Ago

  • Four Months Ago

  • Over Five Months Ago

Setting up the ageing method is found in the System module and is security profile permission driven.

Set up ageing method

  1. Click System then click Options.

  2. Click System Options then click Edit.

  3. On the Options tab, find the Ledger section.

  4. From the drop-down list, for Purchase Ledger, select the necessary ageing method.

  5. Click Save.

The displayed values are automatically updated when you open the Aged Credit enquiry.

Transactions appear on the aged credit report, if they were entered in or before the current ledger period and they still have an outstanding value.

You can set a transaction on dispute by selecting the checkbox against the transaction on the On Dispute column and selecting a query reason.

To remove the dispute flag, click on the selected checkbox against a disputed transaction. If the on-dispute column is not displayed as a default, you can add it through the configure columns under the cog icon.

Access a supplier's aged credit directly from the supplier

  1. Click Creditors then click Suppliers.

    • Note: All suppliers are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox in front of a supplier you wish to view the aged credit for.

    • Note: The Action Panel automatically opens from the right-hand side of the screen.

  3. To access the selected supplier's aged transactions, click the Aged Credit card.

Note: When you access the enquiry directly from a supplier record, the list of transactions is filtered based on the selected supplier. For more information please refer to remove filters. To be able to use the account name search, you must remove the current code filter from the advanced filter panel.

Access aged credit enquiry directly from the navigation menu

  1. Click Creditors then Enquiries then click Aged Credit.

    • Note: All aged transaction for all suppliers are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.
