Building the Chart of Accounts

Enable the Chart of Accounts

  1. Click System then click Security.

  2. Click into Profiles, either Edit a profile or create a new one using the new icon.

  3. Select the Permissions tab and find Chart of Accounts, then tick this on the right.

  4. Fill in all other necessary fields and click Save.

Note: If you don't see the Chart of Accounts option, this is due to your database not having the Advanced Nominal Ledger feature. To enable this, contact your account manager.

  1. Click Financials then click Chart of Accounts.

  2. A list of the nominal account codes appear.

Tip: The double arrow in the middle moves all the codes from the right to left, while the single arrow moves the selected or highlighted codes only. You can use Shift + Click or Ctrl + Left Click for group selection.

Select the relevant nominal code, then add the balance sheet code from the right column. The entry is highlighted in red. All entries highlighted in red on the left is where the Chart of Accounts have not yet been built to include those codes.

Once each of the accounts has been associated with the relevant department and is ready to be built, you can click on Save to save the chart as it is, however, this doesn't build the actual code combinations. To create the Nominal Accounts, click Build.

Setting Default Codes and Analysis Codes

When setting up the default codes within the system using the spyglass, the system only shows you codes that it considers are appropriate for that default type. You have two sales codes:

  • Sales

  • Sales Discount

Once you have selected the two above codes. You have the option at the top to create analysis codes. Analysis codes is the link between the sales and purchase ledgers and the underlying. You would tick this option so that the system links these codes into the sales ledger or purchase ledger as appropriate. Click Save.
