Next Generation - Set up Accruals for the Purchase Ledger with Multi Entity

You can set up purchase ledger accruals so that you an apportion the value of an invoice. As an example, you raise an invoice for an annual licence fee, but you do not want to realise the full value of this sale in the current accounting period, but want to apportion 1/12 of the value per period or month.

When you are using the Multi Entity functionality, you can set up the Accruals functionality on the entity level allowing you to work with Accruals only on selected entities instead of all of them.

To set this up you will need to have access to the System Module which is security profile permission driven.

You need to have all the entity or company records set up first.

Turn on Accruals in the Purchase Ledger

  1. Click System then Options then click Purchase Ledger Options.
    Note: The Pales Ledger Options screen opens on the Details tab as default.

  2. Click on the Edit button at the top of the screen to set the record into edit mode.

  3. On the Transactions section select the Use Purchase Ledger Accrual checkbox.
    Note: The Accrual Nominal field is displayed, however we recommend that you don't populate this field just yet.

  4. Click Save.

Note: As you have turned on the Accruals functionality for the Purchase Ledger, you also need to specify which entity you wish to use accruals on.

Set up Purchase Ledger Accruals for an entity or company

  1. Click System then Organisation then Intercompany and then click Company Set-up.
    Note: All entities or companies you have set up in your database are displayed for you.

  2. Click on the Table icon at the top of the toolbar to change your view.

  3. Highlight or select the checkbox for the entity or company record you wish to set up Accruals for and click on the Purchase Ledger tab.

  4. Click on the Edit button at the top of the screen to set the record into edit mode.

  5. Select the Use Purchase Ledger Accrual checkbox.
    Note: The Accrual Nominal field is displayed.

  6. Type in or select from the list by clicking on the spyglass icon.
    Note: Only nominal accounts that match the highlighted entity or company are displayed in the list.

  7. Click Save.

You have set up the Purchase Ledger Accruals functionality for a selected entity or company.
