Overview of Accounts

Under the Financials option in the menu you can find the Accounts option. To view the nominal account records in a table by default, click this option.

There are two views of the nominal records:

  • Table: A grid of basic details, including code, account, major heading, balance and currency.

  • List: Shows a list of accounts on the left-hand side of the window with account details for the highlighted account on the right.

Add a new account

  1. Click New.

  2. Complete the following information:

Details

Enter the basic details for the account including code, major heading and currency of the account.
There are three types of account, Nominal, Bank and Petty Cash. If you select Bank or Petty Cash, you can view the account in the Cashbook window.
You can also set categories here for them, which you can use for reporting purposes or for filtering in other areas of the system.

Settings

Select a reporting code and in the case of profit and loss accounts, select the P&L Year end code that you want the balance to move to as part of the year-end procedure. This is usually a this will Retained Earnings or similar account.
You can also mark an account inactive if it isn't in use. This hides the account from lists unless otherwise specified and can also select whether to allow zero budgets on the account.

Custom

Enter any additional custom options.

Edit an existing account

  1. Select the account then click Edit.

  2. To edit the account, follow the steps in the section above.

View an account

To see a detailed view of an account, click the eye button. As well as the details, custom options and settings, you can view the following:

  • Data Analysis: This shows the movement on the accounts for a three-year span, last, current, and next broken down by period, along with the budget and difference between the movement and budget and a running Balance. You can select different Budget revisions using the drop-down box labelled Revision Number.

  • Visual Analysis: This is a visual representation of the movements versus budgets. Options include Column Chart and Line Graph and the years Last, Current and Next.

Add a budget

  1. Click Add budget and select the year you want to post the budget for.

  2. Add the budgets for the relevant periods for the year.

  3. Click Save.

Analysis

You can use this option to create analysis codes for the nominal account to use for the sales and purchase ledger. Depending on the major heading code you use, either Create Sales Analysis, Create Purchase Analysis or both options appear. To create these, click OK.
