Next Generation - Set a stock record to be inactive

A guide to setting stock records as inactive, including the conditions that must be met before a stock record can be marked as inactive.

You can mark stock records as inactive when they're no longer needed or have become redundant. When you set them to be inactive, you will no longer be able to use them on transactions and they will be excluded from drop-down lists and reports.

Note: If you do not have security profile permission to the Stock module, you will not be able to set stock records to be inactive.

You can only set a stock record to be inactive when:

  • All quantity fields (Allocated, Unallocated and Quantity Due In) are 0.00, expect Physical Quantity.

  • There are no batched inward or outward stock transactions for the selected stock. You cannot mark a stock record as inactive if it has been used on a batched selling or purchasing transaction.

  • There are no stock take transactions with the following statuses:

    • Not Started

    • In Progress

    • Review

Note: If any of these conditions are not met, the system will display a validation message when you attempt to save, explaining which condition is preventing the stock record from being set to inactive.

Set an existing stock record inactive

  1. Click Stock then click Stock Records.
    Note: All stock records are displayed. You can narrow down your search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the

    icon and choose from the available filter list, then click OK.

  2. In the Stock Code column, click the hyperlink, the underlined text.
    Note: The Action Panel automatically opens from the right-hand-side of the screen. You can close the panel by clicking on the arrow

  3. Click on the Edit button at the bottom of the screen to set the record into edit mode.

  4. Now click the Settings tab, scroll to the Stock section and set the Inactive toggle button to be on and click Save.
