Next Generation - Partial allocations of outstanding purchase transactions

Sometimes you don't want to pay the full invoice value received from your supplier, but you still want to keep on top of the payments you have done.
When this happens, you can do a partial allocation for the payment value. You can partially allocate as many times as you want to, there is no limit on how many transactions you are allocating a single transaction to.

Partial allocation where invoice value is more than the receipt value:

  1. Click Creditors then click Transactions.

  2. Click Invoice then locate a supplier, if you're unsure of the code, you can click the drop-down arrow and select Show More which displays several more records and offers you to search the code and name of the supplier, then enter an invoice for a value of £5,000.00 as GBP Net.

  3. Click Save and then click Save on the Save Options screen to post the transaction live.

  4. Click Payment and enter the above supplier to enter a payment for a value of £1,253.89 and click Save.

  5. Click Creditors then click Allocation.

  6. Enter the above supplier on the Advanced Filter panel and click Apply.

  7. Select the checkbox for the invoice.
    Note: Selecting the checkbox automatically updates the Allocated Value with the full amount outstanding and displayed on the Outstanding column.

  8. Click into the Allocated Value column and update the value to be £1,253.89.

  9. Select the checkbox for the payment and check the Allocated value at the bottom of the screen.
    Note: The allocated value must always be zero.

  10. Click Process and click Save on the Update Allocations screen.

A confirmation lets you know that the allocations has been processed successfully and will display the allocation reference for your information.

Partial allocation where invoice value is less than the receipt value:

  1. Click Creditors then click Transactions.

  2. Click Invoice then locate a supplier, if you're unsure of the code, you can click the drop-down arrow and select Show More which displays several more records and offers you to search the code and name of the supplier then enter an invoice for a value of 789.50 as GBP Net.

  3. Click Save and then click Save on the Save Options screen to post the transaction live.

  4. Click Payment and enter the above supplier to enter a payment for a value of £1,253.89 and click Save.

  5. Click Creditors then click Allocation.

  6. Enter the above supplier on the Advanced Filter panel and click Apply.

  7. Select the checkbox for the payment.
    Note: Selecting the checkbox automatically updates the Allocated Value with the full amount outstanding and displayed on the Outstanding column.

  8. Click into the Allocated Value column and update the value to be £ -789.50.

  9. Select the checkbox for the invoice and check the Allocated value at the bottom of the screen.
    Note: The allocated value must always be zero.

  10. Click Process and click Save on the Update Allocations screen.
