Next Generation - Multi Entity and Bulk Receipts

There are certain conditions that you need to be aware of when you are processing transactions in Bulk Receipts while using Multi Entity.

The following points go through different scenarios that you might come across while processing in the Bulk Receipts screen.

Access the Bulk Receipts screen

  1. Click Debtors then Transactions then click Bulk Receipts.
    Note: All transactions are displayed for you. You can narrow down you search using advanced filters . You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

When you select the transaction or transactions that you wish to process through Bulk Receipts and click Process, the processing screen, Receipt and Allocation Details opens for you to be able to add in or update details.

Note: When using Multi Entity, you can only select transactions that belong to the same sub ledger for bulk processing otherwise you will receive a validation message:

  • Please ensure that all of the transactions are for a single sub ledger, so the correct sub ledger can be out on the transaction.

You can narrow down your search to ensure that only transactions that use the same sub ledger are displayed in the Bulk Receipts screen, then you can use the Select All checkbox at the top of the screen.

The Receipt and Allocation Details screen is made up of the following fields:

Field

Description

Receipt Reference

  • Compulsory and alphanumeric field allowing up to ten characters.

Bank Analysis

  • Compulsory field that defaults to the default sales bank analysis of the selected currency.

  • You can change this record by clicking on the drop-down list and or opening the Show More screen where you can do a wider search for the relevant record.

  • Entry a non-bank type analysis results in a validation to enter a bank type analysis.

  • Entry of a bank type analysis that doesn't match the selected currency results in validation prompting to enter a valid bank type analysis.

  • When using Multi Entity, the Bank Analysis on the Receipt and Allocation Details screen that open when you click on the Process button on the Bulk Receipts screen, are restricted to the sub ledger you are running the process for.

Discount Analysis

  • Compulsory field that defaults to the default sales bank analysis of the selected currency.

  • You can change this record by clicking on the drop-down list and or opening the Show More screen where you can do a wider search for the relevant record.

  • Entry a non-bank type analysis results in a validation to enter a bank type analysis.

  • Entry of a discount type analysis that does not match the selected currency results in a validation prompting to enter a valid discount type analysis.

  • When using Multi Entity, the Discount Analysis on the Receipt and Allocation Details screen that open when you click on the Process button on the Bulk Receipts screen, are restricted to the sub ledger you are running the process for.

Receipt Date

  • Defaults to the Receipt Date set on the Bulk Receipts screen and can't be changed on the processing screen.

Note: You can change this date by clicking Cancel so that you can return to the Bulk Receipts screen where you can amend the Receipt Date.

Receipt Year

  • Defaults to the closest year possible to the receipt dates year.

  • You can change this manually depending on your future period and restricted period posting permissions.

Receipt Period

  • Defaults to the closest period possible to the receipt dates date.

  • You can change this manually depending on your future period and restricted period posting permissions.

Allocation Date

  • Defaults to the Receipt Date set on the Bulk Receipts

  • You can change this manually depending on your future period and restricted period posting permissions.

Allocation Year

  • Defaults to the closest year possible to the receipt date's year.

  • You can change this manually depending on your future period and restricted period posting permissions.

Allocation Period

  • Defaults to the closest period possible to the receipt date's date.

  • You can change this manually depending on your future period and restricted period posting permissions.

To Process the transactions through the Receipt and Allocation Details screen:

  1. Enter the necessary information then click Save.
    Note: A confirmation message of the total value of the transactions appears.

  2. Click Yes.
