You can attach transaction user keys to all transaction detail lines. There are five transactions user keys that can be set up to use on transactions. Attaching a transaction user key to a transaction aids the search in the enquiry screens.

In order to be able to assign a transaction user key to a transaction they have to exist in the system for you to select from predefined keys or alternatively, you can add them as an ad-hoc record which will save against your transaction but will not update the saved list.

The transaction user key fields can be made visible through the Configure Columns window which you can access from the cog icon.
Make the transaction user key fields visible on the Detail sections of transactions
Click Debtors or Creditors or Nominal or Purchasing or Selling then click Transactions.
Select Invoice, Credit Note, Receipt, Payment, Credit, Debit Adjustments or Sales or Purchase Order or any Journals.
Click the cog icon then select Configure Columns.
Next to Transactions User Keys, select the checkboxes.
Click Confirm Columns.
This will add the Transaction User Key columns to the detail section of your transaction.
You can move the columns to be in a different place on the detail section by following our Configure fields and columns article.
Attach pre-saved transaction user keys to transactions from the drop-down
Click Debtors or Creditors or Nominal or Purchasing or Selling then click Transactions.
Select Invoice, Credit Note, Receipt, Payment, Credit, Debit Adjustments or Sales or Purchase Order or any Journals and select the record you wish to work with.
Enter the header information and on the Details section, tab through to get to the Transactions User Keys columns.
In the Transaction User Key field, click the drop-down arrow.
Select the required key.
Repeat for all transaction user key fields.
Once complete, click Save.
On the Save Options screen select the relevant options for your transaction.
Click Save.
Attach pre-saved transaction user keys to transactions by typing in the key
Click Debtors or Creditors or Nominal or Purchasing or Selling then click Transactions.
Select Invoice, Credit Note, Receipt, Payment, Credit, Debit Adjustments or Sales or Purchase Order or any Journals and select the record you wish to work with.
Enter the header information and on the Details section, tab through to get to the Transactions User Keys columns.
Tab through or click in the first Transaction User Key field.
Start typing in the required key and select the key.
Repeat for all transaction user key fields.
Once complete, click Save.
On the Save Options screen select the relevant options for your transaction.
Click Save.
Attach an ad-hoc transaction user key to transactions
You can type in ad-hoc transaction user key, one that is not saved to the existing list and this ad-hoc transaction user key will only be saved against this transaction.
Click Debtors or Creditors or Nominal or Purchasing or Selling then click Transactions.
Select Invoice, Credit Note, Receipt, Payment, Credit, Debit Adjustments or Sales or Purchase Order or any Journals and select the record you wish to work with.
Enter the header information and on the Details section, tab through to get to the Transactions User Keys columns.
Tab through or click in the first Transaction User Key field.
Type in your data and tab out of the field, then repeat for all transaction user key fields.
Once complete, click Save.
On the Save Options screen select the relevant options for your transaction.
Click Save.
Note: You can customise the transaction user key labels, so you might see different labels instead of Transaction User Key in your database.
