Next Generation - Add a new category to an existing and built Chart of Accounts

You can add a new category or nominal account to an already built chart of accounts at any time.

You will have to add the new account or category to the relevant category and then use the Chart of accounts builder to build it against the desired level.

You must first add the new record as a new category record to the category level you want to build it for.

Add a new record for a category:

  1. Click Financials then Settings then click Categories.

  2. Select the category you want to add the new record too and click on the Edit button.

  3. Click on the + Insert new record button, enter the new record and click Save.

Once you are done with adding the record into the relevant category, you need to build the nominal accounts using the Chart of Accounts Build Mode screen.

Use the Chart of Accounts to build the new record created above:

  1. Click Financials then click Chart of Accounts.

  2. Set the toggle at the top of the screen from View Mode to be Build Mode.

  3. Select the category you want to add the above created record by clicking on it at the top of the Nominal Categories panel.
    Note: At this point the Add button is still disabled as you have not selected the category on the right-hand side panel yet.

  4. Now on the Chart of Accounts, left-hand side panel click on the expand arrow all the way until you get to the correct category level.

  5. Select the check box in front of the category level you wish to add the new record too.
    Note: The Add button becomes enabled.

  6. Click on the Add button to add the new record into the category.
    Note: The record is added to the right-hand side of the panel with the Awaiting Build icon . Depending on the status of your Chart of Accounts, you might also see that a new button, Partially Added is displayed on the left-hand side panel. This demonstrates that the selected record has only been added to some of the possible categories and not all.

  7. Click on the Build button at the bottom of the screen to build the record into your structure.
    Note: The Specify Default Accounts screen is opened where you can change any default accounts if you wish.

  8. Select the Create Analysis check box to build the analysis record updating the new nominal account you are building and click on Save.
    Note: A confirmation message lets you know that the new nominal account and its analysis has been built.

Note: Not all analsysi records get created automatically. This depends on the Major Headings of the nominal accounts they update. Please refer to the step by step guide on how to build your chart of accounts to get more information on how the analysis records get created.
