Match Settings lets you control how bank statement lines are automatically matched to cash book entries during Bank Reconciliation. You can either rely on AI Smart Matching or set up your own Rule-Based matching criteria, either database-wide (Global Rules) or for a specific bank account (Bank-Specific Rules).
You can access Match Settings from either the Bank Reconciliation screen or the Cash Book screen.
We will also provide an example for you on how you can set up Matching Rules for both Global and Bank-specific Rules.
Access Match Settings from the Bank Reconciliation option
Click Financials then click Bank Reconciliation.
Note: The Bank Reconciliation screen is displayed.Select a bank account by clicking on the drop-down arrow on the Bank Account field or start typing in the code.
Note: The Match Settings button will stay disabled until you have selected a bank account.
Access Match Settings from the Cash Book option
Click Financials then click Cash Book.
Note: All Bank and Petty Cash type accounts are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal icon and choose from the available filter list, then click OK.Select the bank type account where you already have an imported statement.
From the Action Panel opening from the right-hand side of the screen, click on the Bank Rec tab, then select Bank Reconciliation.
When the Bank Reconciliation screen opens, the Match Settings buttons is enabled.
Opening Match Settings for the first time
If you haven't used the Match Settings option on your database before, clicking the Match Settings button will open a panel on the right-hand side of the screen.
By default, Auto-Match Mode is set to AI Smart Matching, which uses the existing AI-driven matching behaviour.
Auto-Match modes
AI Smart Matching is the default mode and uses AI-driven matching logic.
Rule Based lets you define your own matching rules, either database-wide (Global Rules) or per bank account (Bank-Specific Rules).
Managing Global Rules
The Global Rules apply across the whole database for every bank account.
If you select the Rule Based option, the drop-down field will automatically populate with the Global Rules Auto-Match Type.
You can click on Manage Rules to open the Manage Matching Rules screen with 10 predefined rules.
By default, all 10 rules are active but you can untick the Active checkbox for any one or more rules.
You can also add a rule by clicking on the + Add Rule button at the bottom of the screen and enter the relevant information by clicking on the + Add Criteria (AND condition).
The total number of rules you can have is limited to 99.
Please note that when you are entering the criteria, you can only map a statement reference to a cash book reference or a statement date to a cash book date.
When you select Date from the drop-down, the Date Tolerance checkbox will become visible which you can select if relevant.
When selected, the Date Tolerance will pick up the Date Tolerance you have added on your cash book account.
You can choose between an exact Match Type or Partial Match Type, however some options will automatically default to Exact, and the Match Type will be disabled.
You must add in a value mapping for the Statement Field and the Cash Book field whenever you create a new rule.
Once your new rule is created, you can move it your desired location by clicking into the Priority field and enter the number you wish and clicking Save.
The Reset to Defaults button will delete any newly added rules as well as clear all changes that you may have made to the existing default rules.
You can click on the delete icon next to each rule to delete an existing rule, then click on Save to save your changes.
Alternatively you can untick the Active checkbox which will deactivate the rule, without deleting it from the list.
Managing Bank-specific rules
If you select the Bank-specific rules from the drop-down for the first time, you will get a warning message letting you know that no rules have been set up yet.
This Auto-Match Type is used when you want to set up rules for a specific bank account.
You can click on the Manage Rules to open the Manage Matching Rules screen which opens as a blank screen; you will need to add in your relevant rules.
Click on Manage Rules button at the bottom of the screen and enter the relevant information by clicking on + Add Rule.
Please note that when entering the criteria, you can only map a statement reference to a cash book reference or a statement date to a cash book date.
When you select Date from the drop-down, the Date Tolerance option becomes visible which you can select if relevant.
Ehen selected, Date Tolerance will pick up the Date Tolerance value you have already added on your cash book account.

You can also select the checkbox for the Date Tolerance field, should you wish to pull through the Date Tolerance that you have set on the bank account you are working with.
Once your Global Rules or Bank-specific Rules are set up, go to the Unmatched tab on the Bank Reconciliation screen and click on Auto-Match.
Matching will run based on the rules that you have configured in Match Settings.
