Next Generation - Set up Sort Keys for a sub analysis stock record in Stock Options

A guide to configuring sub analysis code entry methods in Stock Options, covering manual, concatenated, and concatenated and justified options.

You can choose between different options to create the code for your sub analysis record for your selected stock. You can select between manual code entry or get the codes to be created automatically depending on your set up in Stock Options.

You will need access to the Stock Options option within the System module which is security permission driven.

The three different options are as follows:

  • Manual

    • You enter the code manually.

  • Concatenated

    • You enter the sort keys on the Sub Analysis popup window and the system will automatically create the code for you from the sort keys removing any spaces. The combined length of the sort keys cannot exceed 25 characters.

  • Concatenated and Justified

    • Similar to Concatenated but any trailing spaces are not removed. The combined length of the sort keys cannot exceed 25 characters.

Access the Sub Analysis sort keys in Stock Option.

  1. Click System then click System Options and then click Stock Options.

  2. Click on the Edit button on the top left-hand side of the screen and scroll to the Sub Analysis section.

  3. On the Code Entry Method field, click on the drop-down arrow to select the relevant option.

  4. Add in the Field Lengths and untick the Include in Code Concatenation if you don't wish to include all of the 6 user sorts which are your sort keys.

  5. Select the relevant permissions on the Entry Method and then click Save.

Explanation of the Sub Analysis section fields

Field

Description

Code Entry Method

  • Defaults to Manual and can be changed by clicking on the drop-down and selecting the relevant option that works for your business.

  • Relates to how your sub analysis codes will be created, either by you or automatically by the system based on the rules you have set up.

User Sort 1 - 6

  • List of all the user sort fields that are on the Sort Key section of the New Sub Analysis popup window.

Field Length

  • Defaults to zero.

  • You can manually add in the number of characters you wish to use to create your sub analysis record.

  • For the Concatenation and Concatenation Justified, you can only set a total of 25 characters.

Include in Code Concatenation

  • Defaults to selected for all 6 user sorts when either Concatenation or Concatenation and Justified methods is selected.

  • it is disabled and not ticked when you use Manual code entry method.

Entry Method

  • Defaults to Unrestricted and can be changed by selecting an option from the drop-down.

  • The four options are:

    • Unrestricted Access

      • Gives you access to type in a new record on the fly, access the configure button to create permanent new records, access the drop-down list, and to delete any records you no longer need.

    • Disable Entry Field

      • Prevents you from being able to type in a new record that doesn't yet exist in the drop-down list. You can only type in existing records.

    • Select From List

      • Allows you to select a record from the list, to type in any existing records but prevents you from being able to create a new record on the fly and you won't have access to the configure button to create new, permanent records.

    • Disable All Options

      • Only gives you access to be able to see any records saved against the sub analysis and the field is no longer available.

Note: You have to log out and back into Financials once you have completed your Stock Options set up.
