You can set up sort keys to further customise your customer records to make it easier to search and also to report on them.
The default sort keys are:
Sort Key.
User Sort 1.
User Sort 2.
User Sort 3.
You can customise these labels so that they can be more meaningful for your business.

Customise sort key labels
Click System then Settings then click Custom Labels.
Click on the Edit button at the top of your screen.
On the Customer Record section make your and changes.
Click Save.
You can find the sort keys on the Details tab on a customer record. The field names may differ if you customise them.
There are four different permissions that can be set against sort keys within the System module which is security profile permission driven
Permissions | Description |
Unrestricted Access | Can type in a new record on the fly, access the configure button to create permanent new records, access the drop-down list, and to delete any records you no longer need. |
Disable Entry Field | Prevents you from being able to type in a new record that doesn't yet exist in the drop-down list. You can only type in existing records. |
Select From List | Can select a record from the list, to type in any existing records but prevents you from being able to create a new record on the fly and you won't have access to the configure button to create new, permanent records. |
Disable All Options | Only have access to be able to see any records saved against the customer and the field is no longer available. |
Create a sort key for a new customer
Click Debtors then click Customers.
Click + New Record at the top right hand-side of the Customer Records screen, then scroll down to the Sort Key section.
Click Configure.
Complete the fields, if you need more, click + New Record.
Click Save.
Add or edit sort keys for an existing customer
Click Debtors then click Customers.
Note: All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.In the Code or Name column, click the hyperlink, the underlined text.
Note: The Action Panel automatically opens from the right-hand-side of the screen. You can close the panel by clicking on the arrow icon on the right-hand side middle of the screen.Click on the Edit button at the bottom of the screen to set the record into edit mode.
Note: If you can see the Close button instead of the Edit button, it means that you don't have access to edit customer records.On the Details tab, scroll to the Sort Key section.
Click on the drop-down arrow on any of the 4 sort keys and select the relevant record for each one.
Click Save.
Tip: For a one off sort key, you can enter a record on the fly which isn't saved in the drop-down list but is only saved against the customer.
