If you are getting the error 'The registration details do not match the details in the registration database. Please use the AOI registration Application to update your registration details.' then there could be several causes:
The license has expired and the new license file needs to be imported.
More than one copy of the license file is being used. Only one license file can be used within an organisation.
Date format on one machine is different from the others.
The version of the AOI Administrator application on your computer is different to the version of the AOI Registration application.
Ensure the default data connection in AOI Administrator is the same data connection (ODBC link) as used for logging in to Dimensions.
The details of how to check and resolve each reason for the error are given in the sections below:
Check if the license has expired:
Open AOI Administrator.
Select the 'File' icon (top left) and select About Access Office Integration. The ‘About Access Office Integration’ window appears.
In the ‘Expiry Date’ field, check the date. If the date is highlighted red, the licence has expired and the Access tab may not be showing for this reason. A new licence file (key) will probably have been sent out and will need to be applied by each user.
If the licence file (key) is not available, please contact support and request a new licence file (key) is sent to you.
Once completed, open Excel, the error message should not appear and the Access tab should be present.
Check if more than one license file is being used:
If when one user updates the license, the Access tab for other users disappears and for them the message about ‘The registration details do not match the details in the registration database' appears, then multiple licenses are being used.
Find the location of the license files being used and agree which one is to be used - ideally, the one that is most recent.
Ask all users of AOI to apply this license.
Once completed, open Excel, the error message should not appear and the Access tab should be present.
Date format on one machine is different from the others:
Identify which machine(s) causes the Access tab on the majority of machines to disappear. To help with this, at the last stage of updating the license, check the format of the Expiry Date. If the format is different on different machines, this is the cause of the issue.
On the machine causing the issue (Let's call Machine A) and one of the other machines ( Machine B), Open Control Panel.
Click 'Region'.
On the ‘Formats’ tab, check the ‘Format’ is the same, most likely to be ‘English (United Kingdom)’. If they are not the same, use the drop-down on machine A and select ‘English (United Kingdom)’ or whatever Format is being used on machine B.
Check the ‘Short date:’ is the same, most likely to be ‘dd/MM/yyyy’. If they are not the same, use the drop-down on machine A and select ‘dd/MM/yyyy’ or the 'Short date:' being used on machine B.
Check other date and time formats, but these are not essential for resolving this issue.
On machine A apply the license again. Check the date format of the Expiry Date and ensure the format is corrected.
Versions of AOI Administrator and AOI Registration:
The versions of AOI Administrator and AOI Registration installed on your computer should be the same. You can check the versions using the following methods.
AOI Administrator:
Click on the Start icon on your computer
Click Access Applications
Click AOI Administrator
When the application opens, click the green icon the top-left of the window
Click About Access Office Integration and note the version number in the General section
AOI Registration:
Click on the Start icon on your computer
Click Access Applications
Click AOI Registration
When the application opens, note the version number displayed in top-right of the screen
If the versions are different then the one that is incorrect will need to be uninstalled and the correct version installed. You may need to speak to your IT or others in your organisation who also use AOI to establish what versions you should be currently using.
Checking the default Data Connection:
Click on the Start icon on your computer
Click Access Applications
Click AOI Administrator
Click Data Connections
Click on the default Data Connection (the one with the green tick)
Check the name in the Datasource box. This name should be the same as the name of the ODBC link that the users uses when logging in to Dimensions.
You can find the Dimensions ODBC name link by opening Dimensions and click More > > on the log in screen to reveal the ODBC link used.
