Newer versions of AOI include integrated Journal Upload Templates that replace the old Standalone ones. There are three journal types, allowing journals, vat journals or currency transfers to be uploaded from excel.
β
To access the templates please see below:
Open Excel and select the ACCESS tab.
In the Uploaders section of the ribbon, use the Create Sheet drop-down and select the required template to create a new template.
Use the Connection drop-down and select the required database.
Fill in or amend the fields in the header cells as required. It is a good idea to set the Batch field to Yes if unfamiliar with the upload process as this will allow 'sanity checking' in the financials application before posting.
Enter the relevant detail information. Extra rows can be inserted in the usual excel manner.
To test or post the journal, in the ribbon, click Validate & Process.
Save the spreadsheet (in xlsm format). This will retain the template which can be used for reference or amended for future postings.
Many fields on the journal templates require specific information and are sensitive to data formatting. Therefore, the the following is advised:
Always use Paste Special (Values or Text) when pasting from other sources
If inserting rows, do so from the middle of the available rows
Use separate lines for debits and credits
