Creating reversing journals from a spreadsheet

You can create reversing journals directly from Microsoft Excel workbooks using the Access Office Integration (AOI) journal template.

Assuming you have AOI installed and that your AOI licence has the Journal Uploader feature enabled, then you can create a journal for posting to Access Financials as follows:

  1. Create a new empty workbook in Excel

  2. Click the Access menu

  3. In the Uploaders menu, click on Create Sheet

  4. Select NL Journal

  5. This will create a fresh journal template

  6. In the Uploaders menu, ensure you have the correct destination connection selected

  7. Enter a date for the journal in the Date cell

  8. Enter a Journal Ref (up to 10 chars long)

  9. Enter a Description

  10. In the Reverse with 2nd Transaction option, select Yes. This will generate an additional (second) opposing journal that will reverse your first journal in the next period after the chosen period for the first journal.

  11. Enter the required Year and Period for the initial/first journal

  12. Select a Type

  13. In the Batch option, select Yes if you wish to save the journal to batch. If you save it to batch, it will be posted to the Financials Journal Batch where you can view and edit the journals prior to posting. Otherwise, if you select No then the journals will be posted direct to the ledger.

  14. Enter a Batch Ref - if required

  15. Enter the required Nominal Codes and values in the detail rows below. The debits and credits must balance.

  16. When ready, click Validate & Process and select either Validate only or Validate & Process

  17. Your journal and the additional reversing journal will then be posted to the batch or direct to the ledger, depending on your chosen setting.

  18. Save your workbook. You can then reuse the same workbook for posting future journals.
