Manage and troubleshoot nominal codes in the chart of accounts

Manage nominal codes in the Chart of Accounts, including exporting the full list, troubleshooting inactive codes, and re-enabling codes for posting.

Exporting the Chart of Accounts

Export a full Chart of Accounts list:

  1. Click Financials, then click Reports, then click Accounts, then click Nominal Accounts List.

  2. Run the report to generate the full Chart of Accounts.

  3. Export the report to your preferred format, such as Excel or PDF, for further use.

Troubleshooting Inactive Nominal Codes

If a nominal code appears in the Chart of Accounts but returns an error like "code doesn’t exist" when used in journals or purchase ledger imports, it may be inactive. To resolve this issue:

  1. Click Financials, then click Chart of Accounts.

  2. Locate and select the nominal code in question.

  3. Open the Settings for the selected code.

  4. Check the status of the code. If it is set to Inactive, change it to Active.

  5. Save the changes.

  6. Retry your journal line or import to confirm the issue is resolved.

Nominal code not appearing in a transaction dropdown

If a nominal code is active but still does not appear in a transaction dropdown, it may be restricted to a specific analysis type that does not match the current transaction context. Check the code's analysis type settings in the Chart of Accounts. If the code should be available but is not, contact your system administrator to review the configuration.

Error: 'Code doesn't exist' in a journal or import file

This error in a journal line or bulk import typically means one of the following:

  • The code is inactive — follow the Troubleshooting Inactive Nominal Codes steps above to reactivate it.

  • The code number in the file does not exactly match the code in the Chart of Accounts — export your Chart of Accounts (steps above) and compare.

  • The code has been deleted or renumbered — update the file with the current active code number.

Nominal code not appearing in reports

Check the following:

  • No transactions have been posted to the code in the selected date range — codes with no transactions may not appear in some report views.

  • Report filters are excluding the code — check any analysis type, department, or date filters applied.

  • The code is inactive — inactive codes may be excluded from standard report views.
