Next Generation - View, upload, download, preview and delete documents for a nominal transaction

As part of the improvements, we've made sure that you won't have to leave Access Financials when you want to access Documents but can do from the same screen.

You can:

  • Search

  • View

  • Upload

  • Download

  • Preview

  • Delete

from the Documents tab without leaving the screen of Access Financials.

The following types of fields are supported for now and we're looking to enhance this list:

  • jpg

  • png

  • pdf

  • tiff

  • tif

  • jpeg

  • gif

  • svg

The steps below take you through the purchase transaction enquiry.

Upload a document for a transaction

  1. Click Financials then Enquiries then click Nominal Transactions.

    • Note: All transactions are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox next to the transaction you wish to work with.

    • Note: The Action Panel opens out from the right side of the screen.

  3. Click the Documents tab then click Select File.

  4. Navigate on your laptop or PC to the document you wish to upload.

  5. Select the document by double clicking or drag and dropping into the designated area on your Documents tab.

Your document is now uploaded, and the Documents tab is refreshed to display the new document.

View a list of uploaded documents for a selected transaction

  1. Click Financials then Enquiries then click Nominal Transactions.

    • Note: All transactions are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox next to the transaction you wish to work with.

    • Note: The Action Panel opens out from the right side of the screen.

  3. Click the Documents tab to view all uploaded documents displayed for the selected transaction.

Preview uploaded documents for a selected transaction

  1. Click Financials then Enquiries then click Nominal Transactions.

    • Note: All transactions are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox next to the transaction you wish to work with.

    • Note: The Action Panel opens out from the right side of the screen.

  3. Click the Documents tab.

    • Note: All uploaded documents are displayed for the selected transaction.

  4. Click the document icon to preview an uploaded document without having to download it.

Download documents for a selected transaction

  1. Click Financials then Enquiries then click Nominal Transactions.

    • Note: All transactions are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox next to the transaction you wish to work with.

    • Note: The Action Panel opens out from the right side of the screen.

  3. Select the checkbox in front of the documents you want to download.

  4. Click the cog icon then select Download.

The selected documents are now downloaded for you and you can click on them on your screen or browse to your download location on your PC or laptop.

Delete documents for a selected transaction

  1. Click Financials then Enquiries then click Nominal Transactions.

    • Note: All transactions are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox next to the transaction you wish to work with.

    • Note: The Action Panel opens out from the right side of the screen.

  3. Click the Documents tab.

  4. On the Documents tab, select the checkbox in front of the documents you want to delete.

  5. Click the cog icon then select Delete.

  6. Click Yes.
