Next Generation - Populate the Details Tab for a nominal account record

The details tab is the default tab that opens when creating a new account record or editing an existing one.

Populate the details tab for a new nominal account:

  1. Click Financials then click Accounts.
    ​Note: The Nominal Accounts screen displays listing all your accounts. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Click + New Account.

  3. The Details tab opens containing two different sections:

    • Summary

    • Category

Populate the details tab for an existing nominal account:

  1. Click Financials then click Accounts.
    ​Note: The Nominal Accounts screen displays listing all your accounts. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. In the Code or Name column, click the hyperlink, the underlined text.
    ​Note: The Action Panel automatically opens from the right-hand-side of the screen. You can close the panel by clicking on the arrow icon on the right-hand side middle of the screen.

  3. Click on the Edit button at the bottom of the screen to set the record into edit mode, then click the Details tab which contains two different sections:

    • Summary

    • Category

Note: If you can see the Close button instead of the Edit button, it means that you don't have access to edit nominal account records.

Each section is explained below:

Section

Description

Summary

  • The Account Code length is based on the Minimum Code Length set up in the Nominal Ledger Options which is security profile permission driven.

    • Where a Minimum Code Length is set up, the new account code cannot be less than this value or you will be prompted.

  • On inserting or editing a record where a Fixed Code Length is specified and the value entered is less than this value, then the system will automatically add zeros to the end of the code to take it to the specified fixed length.

  • The Name field is a compulsory field where the System Option Compulsory Entry Fields is turned on. The System Options is also security permission driven.

  • It allows 40-character entry and where the Nominal ledger Option Numeric Codes Only is ticked, you can only enter numeric characters.

  • The Major Heading is a compulsory field, defaults to 1 and can be changed by typing in or selecting from the drop-down list.

  • The Account Type field defaults to Nominal and can be manually changed to be Bank or Petty Cash type.

  • The Currency defaults to the same currency as the database's currency and can be changed to any other currency that exists in your database.

  • The Cost Centre field needs to be populated with a cost centre that belongs to at least one project.

  • When the Compulsory Costing checkbox is selected, then costing details must be entered when posting a transaction to this account.

Category

  • When you are using Advanced Nominal Ledger, if any of the categories is part of the Data Setup Hierarchy then it cannot be edited. The above is true for all 8 category fields.
