Next Generation - Batch a sales ledger transaction

Batching a sales ledger transaction offers a way to save transactions as a draft so you can be edit it later. Selecting a transaction to be batched can be found on the Save Options screen which opens once you click Save on any transaction type.

This article takes you through the batching of an invoice, but the same logic applies when batching any sales ledger transactions.


Batch an invoice from the customer record list

  1. Click Debtors then click Customers.
    ​Note: All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the icon and choose from the available filter list, then click OK.

  2. Select the checkbox in front of the customer record you want to work with.
    ​Note: The Action Panel automatically opens from the right-hand side of the screen.

  3. Click Add Invoice then enter the necessary information. For more information on how to enter a sales ledger invoice, please refer to our Enter a sales ledger invoice article.

  4. Click Save then select Batch Transaction.

  5. Enter the batch reference or leave blank.

  6. Click Save.

To access any batched transactions

  1. Click Debtors then click Transactions.

  2. Select Post Batch.

  3. You can use the search panel to find your batched transactions.

Batch an invoice directly from the menu

  1. Click Debtors then click Transactions.

  2. Select Invoice and the customer record. You can enter the customer account code. If you're unsure of the code, you can click the drop-down arrow and select Show More which displays several more records and offers you to search the code and name of the customer.

  3. Enter the necessary information then click Save. For more information on how to enter a sales ledger invoice, please refer to our Enter a sales ledger invoice article.

  4. Select Batch Transaction then enter a batch reference or leave it blank.

  5. Click Save.

To access the batch

  1. Click Debtors then click Transactions.

  2. Select Post Batch.

  3. You can use the search panel to find your batched transactions.

Note: The batch flag saves so when you next enter an invoice, you won't need to select this option again.
