Next Generation - Processing purchase order credit notes

The Process Credit Notes screen shares the look and feel and functionality of all the other enquiry screen. For more information on what the look, feel and functionality of an enquiry screen, please refer to the purchase transaction enquiry article.

When you create a purchase order credit note, the system automatically batches this transaction for you and you can view all your unprocessed credit notes in the Process Credit Notes enquiry and processing screen.

The Totals for gross and net at the bottom of the screen show the sum of all order's gross and net values.

Once you have selected an order or orders to process, the totals at the bottom will relate to the selected order or orders only.

Access the Process Credit Notes screen:

  1. Click Purchasing click Transactions and then click Process Credit Notes.

  2. Note: All batched purchase order credit notes are displayed in the enquiry screen. You can narrow down you search using advanced filters.

  3. Select the checkbox in front of the transaction or transactions you wish to work with.
    ​Note: The Action Panel opens automatically from the right hand-side of the screen.

  4. Select the Process Credit Note card to process the credit notes.

  5. If you have selected only one credit note to process, you can also edit this transaction by clicking on the Edit Order card.

Tip: You can use the Select All checkbox to select all listed transactions so you can process them in bulk. The Edit Order card is only available when a single selection is made.

The Process Credit Notes screen:

Option

Description

Delivery Date

  • Compulsory field, defaults to the system date.

  • You can manually type the date in or use the Date Picker to select the relevant date.

Delivery Year

  • Compulsory field, defaults to the latest year based on the delivery date, your future period posting rights and your permission to post to restricted periods.

  • When the delivery date is changed, the delivery year will default to the latest possible year based on your year and period posting permissions.

Delivery Period

  • Compulsory field, defaults to the latest period based on the delivery date, your future period posting rights and your permission to post to restricted periods.

  • When the delivery date is changed, the delivery period will default to the latest possible period based on your year and period posting permissions.

Invoice Date

  • Compulsory field, defaults to the system date.

  • You can manually type the date in or use the Date Picker to select the relevant date.

Invoice Year

  • Compulsory field, defaults to the latest year based on the delivery date, your future period posting rights and your permission to post to restricted periods.

  • When the delivery date is changed, the delivery year will default to the latest possible year based on your year and period posting permissions.

Invoice Period

  • Compulsory field, defaults to the latest period based on the delivery date, your future period posting rights and your permission to post to restricted periods.

  • When the delivery date is changed, the delivery period will default to the latest possible period based on your year and period posting permissions.

Credit Note No.

  • Compulsory field allowing 25 alphanumeric character entry

Disputed

  • You can set the transaction to be disputed and add a query reason once you have clicked on Process and Print.

  • You can choose to select a query reason or save without selecting one.


Once you have processed a purchase order credit note, it will no longer be displayed in the Process Credit Notes screen, and you can find the processed credit note in the Purchase Transaction Enquiry screen for the relevant supplier record.
